Theatre & Venues Hire Terms and Conditions

Hire Terms and Conditions

These Terms and Conditions apply to the hire of ANGUSalive’s theatres and venues, including but not limited to the Webster Memorial Theatre and town halls. By confirming a booking, the hirer agrees to comply with the following:

  1. Suitability & Capacity
  • The hirer is responsible for ensuring the venue is suitable for their intended use before confirming a booking.
  • Maximum permitted audience or occupancy numbers must be strictly adhered to at all times.
  1. Equipment & Safety
  • All electrical equipment brought into the venue must carry a valid and current Portable Appliance Test (PAT) certificate.
  • The hirer is responsible for ensuring any persons operating technical, electrical, or mechanical equipment are competent and comply with health and safety requirements.
  • Fire precautions and procedures must be followed. The designated responsible person must familiarise themselves with fire exits, escape routes, and emergency equipment.
  1. Risk & Insurance
  • A risk management checklist and any required documentation must be completed before a booking can be confirmed.
  • For major or one-off public events, hirers must hold Public Liability Insurance with a minimum indemnity of £5 million. Evidence of cover must be provided to ANGUSalive.
  • Exemptions may apply for private hires such as weddings, birthday parties, or small community gatherings.
  1. Licences & Copyright
  • The hirer is responsible for securing any necessary performance, copyright, or PRS licences. ANGUSalive accepts no liability for claims or costs arising from unauthorised use of copyright material.
  • If alcohol is to be sold, it is the hirer’s responsibility to obtain the appropriate licence in advance.
  1. Photography, Filming & CCTV
  • Photography and filming are permitted for private hires, functions, and events, provided they comply with ANGUSalive’s Photography & Filming Policy.
  • CCTV is in operation in some venues for the purposes of public and staff safety, security, and crime prevention. Please refer to the ANGUSalive Privacy Statement for details.
  1. Booking & Payment
  • Bookings should be requested at least two weeks in advance. Requested dates/times cannot be guaranteed.
  • Community bookings: A 50% non-refundable deposit is due within seven days of confirmation. The balance must be paid at least 30 days before the hire date.
  • Standard bookings: Full payment is required within seven days of confirmation.
  • Failure to pay within the required timescales may result in cancellation and affect future bookings.
  1. Cancellations
  • If a booking is cancelled:
    • Less than 1 month before the event: 100% charge
    • Between 4–8 weeks before the event: 50% charge
    • More than 2 months before the event: £25 admin fee
  • Regular failure to honour bookings may result in termination of block bookings.
  1. Responsibilities of the Hirer
  • The hirer must appoint a competent and responsible person to be in charge throughout the hire. They must ensure:
    • Sufficient supervision and door control.
    • Free access to exits and escape routes.
    • Appropriate behaviour and safeguarding of participants, including responsible consumption of alcohol.
  • The hirer is responsible for:
    • Returning all areas, kitchens, and bars in a clean and tidy condition.
    • Removing all decorations, displays, and waste.
    • Reporting any damage or defects. The hirer may be charged for repairs or additional cleaning.
    • Failure to remove waste will result in an additional uplift charge being issued.
  1. ANGUSalive Rights
  • ANGUSalive reserves the right to cancel, alter, or cut short any hire if:
    • The booking is improperly managed.
    • Health and safety, public order, or reputational concerns arise.
  • All hires are subject to ANGUSalive Facilities Management Rules.
  1. Enquiries & Complaints

All complaints or enquiries should, in the first instance, be directed to the Duty Manager or relevant venue staff.
